This policy explains what we do with your information. It covers both our clinics. Where the law differs between the United Kingdom and India, we have said so.

What this website collects
Our enquiry and booking forms. These are hosted by Google Forms, so Google processes what you submit on our behalf. The form asks for your contact details and for information about your health so that we can tell whether we can help you.
Nothing else. This site has no account, no sign-up and no newsletter. We do not use Google Analytics and we do not run advertising trackers.
We use Google Search Console and the analytics built into our website platform to see how the site is found and used — which pages are visited, and where visitors arrive from. Neither tells us who you are.
Some pages carry content from Google Maps, Google Forms and YouTube, so that you can find us, enquire about an appointment and watch our videos. When that content loads, those services may set cookies on your device under their own privacy policies. We do not use cookies to track you, to advertise to you, or to build a profile of you.
What we collect when you become a patient
Most of what we hold is not collected through this website. It comes from your consultations, your calls with us, and the correspondence between us: your medical history, current medicines, conditions, test and scan results, measurements, consultation notes, and letters to and from other clinicians involved in your care.
Payments are handled by Stripe. We do not see or store your full card details.
Why we use it
To provide your care and keep a proper clinical record of it. To arrange and confirm appointments. To issue prescriptions and arrange dispensing. To take payment. To communicate with other clinicians involved in your care, where that is appropriate. To meet our legal and regulatory obligations.
We do not sell your information and we do not share it for marketing.
Our legal basis
In the United Kingdom. We process your personal information because it is necessary for the healthcare we provide to you, under UK GDPR Article 6(1)(b) and (f), and your health information under Article 9(2)(h), which permits processing for the provision of health care by or under the responsibility of a health professional bound by a duty of confidentiality. Where we rely on your consent for anything beyond your care, you can withdraw it at any time.
In India. We process your information with your consent, given before we collect it, and in accordance with the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules 2011, under which medical records are sensitive personal information. You may withdraw your consent at any time, although we may then be unable to continue treating you.
Who sees your information
Our clinical team, who provide your care.
Our administrative team, who arrange your appointments, handle your enquiries and correspond with you. They need access to do that. We are a small family business and our administrative team supports both clinics, so a member of the team in one country may assist with administration for the other.
Each clinic keeps its own clinical records system.
The pharmacy that dispenses your treatment. It receives only the information required to process and dispense your prescription. Nothing else from your record is shared with them.
Other clinicians involved in your care — your own doctor, a hospital, or another specialist, where this is necessary for your treatment and normally with your knowledge.
Your insurer, where your care is being funded by one.
Our service providers — Google, for our forms and website analytics, and Stripe, for payments. Each is bound to use your information only as we instruct.
Where the law requires it, or to protect someone's safety.
How long we keep it
We keep clinical records for ten years after your care ends, in both the United Kingdom and India.
Enquiry information from people who do not become patients is deleted after twelve months.
We cannot delete a clinical record on request while we are required to keep it.
Your rights
Wherever you are treated, you can ask us for a copy of the information we hold about you, ask us to correct anything that is wrong, ask us to delete information we are not required to keep, and withdraw any consent you have given.
If you are in the United Kingdom, you also have the right to receive your information in a portable format, to object to certain processing, to ask us to restrict processing, and not to be subject to decisions made solely by automated means. We will respond within one month and there is no charge.
If you are in India, you can also nominate someone to exercise your rights on your behalf if you die or become unable to.

Security
Your records are held in secure clinical systems with access limited to the people who need it. Our website uses encrypted connections. We train our team on confidentiality. If something goes wrong and your information is at risk, we will tell you and take the steps the law requires.
If you have a concern
Please contact us at hello@simplyweight.co.uk for the United Kingdom or hello@simplyweight.in for India. We will acknowledge within two working days and respond fully within twenty working days. Where something takes longer to look into, we will tell you why.
